Creating a New DAC Session

Once your template is built, you’re ready to schedule a live session. This article takes you through the steps you need to follow to create the session for your assessment days or live interviews.

Creating your live session

Step 1: Start Scheduling

  1. Click Schedule

  2. Select Create a New DAC Session

Step 2: Select Your Template

Choose your DAC template from the dropdown list.

Next:

  • Select the date

  • Select the start time

Remember:
The timings inside your template will automatically adjust based on the start time you choose.

Step 3: Rename the Session (Optional)

The template name will automatically pull through as the session name.

You can rename it if needed.

This is especially useful if:

  • You are running the same template twice in one day

  • For example: Morning Session and Afternoon Session

If no changes are required, simply leave the default name.

Step 4: Select Virtual Meeting Room Type

Choose the meeting room type from the dropdown.

You may see:

  • Whereby (integrated meeting room provider)

  • Microsoft Teams (if integration is enabled)

  • N/A (if the session is face-to-face)

This selection determines how virtual rooms will be created for the session.

Step 5: If the Session Is Face-to-Face

If you select N/A, you can:

  • Enter the location

  • Add any relevant notes

Step 6: Create Session

Click Create Session.

You will now be taken to the scheduling screen, where you can populate placeholders.


Understanding session placeholders

Placeholders define which slots throughout the day candidates and assessors will join. For more detailed information on placeholders, see Understanding DAC Event Groups and Placeholders.

Placeholder numbers

Placeholder numbers run throughout the template.

If you assign someone to:

  • Candidate #1

They will automatically appear in every Candidate #1 placeholder across the full schedule.

The same applies to assessors.

Filling placeholders

When you initially create your live session, you may have some placeholders that are not required and remain empty. These won't stop you from validating your session and can be helpful to allow flexibility in your session either ahead of the assessment day or during the session itself.

This is helpful if:

  • You are still confirming attendance

  • You want flexibility to add people later

  • You need to manage candidate drop out or changes to assessor flexibility on the day

💡 You can add extra placeholders into your schedule template during setup to make your scheduling approach more flexible


Populating Placeholders & Managing Participants

Once your session is created, you will see:

  • The full template running order

  • All candidate and assessor placeholders

Now you can begin assigning people.

Assigning Candidates or Assessors

To populate a placeholder:

  1. Click on the placeholder

  2. Start typing the candidate or assessor’s name or email address

  3. Select them from the list

Repeat this for all required placeholders.


Adjusting Individual Candidate Timings

Before validating, consider:

  • Does anyone require a reasonable adjustment?

  • Has a candidate said they can only arrive later?

  • Does someone need an early finish?

To adjust timings:

  1. Click the clock icon next to the candidate’s group

  2. Edit their start or end time

This allows individual timing flexibility without impacting the full schedule.


Editing & Finalising a DAC Session

Before submitting your session, you can still make changes.

Editing an Event

If you need to edit an exercise or break:

  • Click the pencil icon

You will see the same options available during template setup, including:

  • Virtual meeting room settings

  • Lock rooms

  • Separate room for each group

  • Timings

Removing Virtual Rooms

If you no longer need a virtual meeting room:

  • Edit the event

  • Deselect the virtual meeting room option

Removing an Entire Event

If required, you can remove a whole event using the X.

However, remember:

You can validate a schedule with empty placeholders.

It is often better to leave events in place and return later if needed.


Final Checks Before Submission

✔ Required candidates and assessors assigned
✔ Timings adjusted where necessary
✔ Meeting room type correct
✔ Location added (if face-to-face)
✔ Any spare placeholders intentionally left blank

Once you've completed these final steps you'll be ready to click 'Validate and Submit DAC Session'. Your session is now booked.
